Job Description
An Office Administrator at Colonial Driving School plays an essential role in creating a welcoming and organized environment for students, instructors, and visitors. This position serves as the first point of contact, both in-person and over the phone, and is responsible for managing front-desk operations, scheduling lessons, answering inquiries, and supporting administrative tasks. The ideal candidate is organized, friendly, and customer service-oriented, with a knack for multitasking and clear communication.
Job Responsibilities
- Front Desk Management: Serve as the first point of contact for students, parents, and visitors. Maintain a clean, professional, and welcoming reception area at all times.
- Phone and Email Communication: Answer incoming calls and respond to emails, providing accurate information about driving programs, pricing, and scheduling.
- Scheduling and Appointments: Coordinate driving lesson appointments, road tests, and classroom sessions, matching student availability with instructor schedules.
- Student Record Keeping: Maintain accurate and up-to-date student records, including registration forms, attendance logs, and payment history.
- Payment Processing: Collect and process payments, issue receipts, and assist with billing or refund inquiries as needed.
- Customer Support: Address student or parent questions and concerns with professionalism. Provide clear information and resolve issues or escalate them appropriately.
- Instructor Coordination: Communicate with driving instructors to ensure timely scheduling, lesson updates, and student feedback.
- Administrative Assistance: Support day-to-day operations including filing, copying, supply inventory, and general office upkeep.
- Marketing and Event Support: Assist with promotional activities, social media updates, and special events when needed.
- Compliance and Policy Adherence: Ensure adherence to school policies and regulatory requirements related to documentation and data handling.
Qualifications
- High school diploma or equivalent (some college preferred)
- Prior experience in a receptionist, front desk, or customer service role
- Proficient in Microsoft Office (Word, Excel, Outlook) and scheduling software
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks in a fast-paced environment
- Friendly, approachable demeanor with a strong sense of professionalism
- Bilingual (English/Spanish) is a plus, but not required
